Is Workday more expensive than SuccessFactors?

Workday typically runs higher on a per-employee-per-month basis. Realized PEPM for Workday HCM lands $34 to $60 per employee per month for mid-market. SuccessFactors lists Employee Central at $6 to $8 per employee per month and a full HCM suite at $28 to $38 per employee per month. On paper SuccessFactors is 15% to 25% cheaper (Source: buyer disclosures, 2026). In practice the gap narrows when you factor implementation and integration costs.

Which platform has simpler implementation?

Workday is faster to deploy for most mid-market buyers. Three to six months is standard. SuccessFactors implementations typically run six to nine months because the module-by-module approach creates more integration work. However, SuccessFactors has the largest certified consultant pool globally, which can be an advantage for global payroll deployments.

Can I run payroll natively in either platform?

Yes to both, with caveats. Workday Payroll is a native module that combines seamlessly with HCM and supports more than 50 countries with country-specific tax engines. SuccessFactors Employee Central Payroll supports similar country coverage but is a separately licensed add-on that costs roughly $10 PEPM. Both are stronger than legacy third-party payroll bolt-ons.

Which is better for talent management?

SuccessFactors has the deepest standalone talent module suite. Recruiting, learning, performance, compensation, and succession are each individually licensed and best-in-class. Workday bundles most talent functionality into the core HCM suite price, which simplifies budgeting. For organizations that buy talent-heavy, SuccessFactors wins. For unified HCM-plus-talent buys, Workday wins on simplicity.

Do either have published list prices?

Neither publishes list prices in 2026. Workday commercial motion is direct sales with per-employee-per-month (PEPM) rates negotiated by deal desk. SuccessFactors uses the same model and sells direct or through certified partners, with volume-tier discounts across nine headcount bands. Both vendors' real pricing for an equivalent deployment can be 30% to 50% apart based on negotiation quality alone.

Which integrates better with my finance system?

Both integrate with major ERP systems. Workday Financial Management is a native extension that often wins for orgs wanting one unified cloud for HCM plus finance. SuccessFactors integrates well with SAP S/4HANA through certified connectors, which gives SAP shops an incumbency advantage. Most buyers run HCM and finance from the same vendor if they can.

What is the typical five-year TCO difference?

Comparable five-year totals often come within 10% to 15%. SuccessFactors wins on license cost. Workday wins on integration and operation efficiency, especially with unified HCM plus finance deployments. Implementation cost for both runs $500,000 to $2 million for a complex enterprise deployment. The decision usually hinges on which sales motion and consulting partner you trust more.

Can I switch vendors later?

Switching HR systems is expensive and disruptive. Migration typically costs 60% to 100% of the original implementation fee and takes 9 to 18 months depending on payroll complexity. Employee data, payroll history, and benefits configurations take the most effort to convert. Plan the move at contract renewal rather than mid-term and expect 18 to 24 months for a clean cutover.

Workday vs SuccessFactors 2026 (Pricing & Fit)

The HR software market has consolidated around two vendors for mid-market and enterprise buyers. Workday and SAP SuccessFactors each command roughly a third of the global HCM market, and for good reason. Both deliver full HCM-plus-payroll-plus-talent in modern cloud platforms. The decision between them rarely hinges on capability, because both cover the basics. It hinges on sales motion, integration story, and license math.

This comparison uses 2026 buyer-disclosed benchmarks to compare the two platforms side by side. Pricing is presented as negotiated bands rather than list prices because neither vendor publishes public pricing.

Data last verified September 2026 from Workday Negotiation Insights, VendorBenchmark, CostBench, and aggregated mid-market buyer disclosures for contracts signed in 2025 and 2026.

At a glance
SuccessFactors typically lands 15% to 25% cheaper on license alone for equivalent HCM scope.
Workday wins on integration and unified HCM-plus-finance architecture.
Neither vendor publishes a list price. Negotiation quality alone swings final cost by 30% to 50%.
Five-year TCO usually lands within 10% to 15% once implementation (Source: total-cost-of-ownership benchmarks, 2026) and operations are factored in.

How each platform is priced in 2026

Workday HCM is priced per-employee-per-month (PEPM) applied to total FTE headcount. Headcount is calculated on full-time-equivalents, so part-time workers are converted to FTEs. Published list pricing for Core HCM sits at roughly $14 to $18 PEPM at the median enterprise tier of 5,000 to 15,000 employees. Realized PEPM after enterprise discount typically falls to $7 to $12 PEPM for Core HCM.

SuccessFactors uses a modular per-employee-per-month model. Employee Central, the system-of-record module, lists at $6 to $8 PEPM and negotiates to $4.50 to $6.00 PEPM above 5,000 employees. Talent modules (Performance and Goals, Recruiting, Learning, Compensation) each add $2 to $8 PEPM and discount 20% to 30% off list on multi-year commitments. A full SuccessFactors HCM Suite lands at roughly $28 to $38 PEPM at enterprise scale.

PEPM comparison by deployment size

The gap between Workday and SuccessFactors narrows materially as you move into larger enterprises. Buyers above 25,000 employees can use Workday's January fiscal-year-end window to land below $200 PEPY on Standard. SuccessFactors buyers in the same tier see Full Suite rates drop to $12 to $18 PEPY through volume-tier discounts.

Employee count	Workday HCM (negotiated PEPM)	SuccessFactors Full Suite (negotiated PEPM)
200 to 500	$34 to $65	$28 to $42
1,000 to 2,500	$42 to $65	$25 to $35
2,500 to 5,000	$35 to $52	$22 to $32
5,000 to 20,000	$28 to $45	$18 to $28
20,000 to 50,000	$22 to $38	$15 to $22
50,000+	$18 to $32	$12 to $18

Module stacking and add-on math

Module stacking is where buyers get surprised. Workday buyers usually pick a base bundle and accept Workday's suite rate. SuccessFactors buyers negotiate each module separately and stack rates. Workday's bundled approach is simpler but can leave money on the table if you do not use bundled features. SuccessFactors' module approach rewards disciplined negotiation but exposes you to add-on pricing creep.

Module	Workday add-on rate	SuccessFactors add-on rate
Payroll	$3 to $6 PEPM realized	~$10 PEPM (EC Payroll)
Recruiting	$2 to $4 PEPM	$2 to $3 PEPM (requires Employee Central)
Talent Management	$1 to $3 PEPM	$3 to $6 PEPM (Performance and Goals)
Learning	$2 to $4 PEPM	$5 to $10 PEPM
Compensation	$1 to $2 PEPM	$3 to $5 PEPM
Benefits Administration	$1 to $3 PEPM	Included with Recruitment bundle

First-year cost by deployment size

First-year cost combines subscription plus implementation. Implementation is the larger line for any HCM project. Workday implementation typically runs $500,000 to $2 million for a complex enterprise deployment. SuccessFactors runs similar implementation costs but is skewed higher for global payroll.

Employee count	Workday year-1 total	SuccessFactors year-1 total
200 to 500	$578,000 to $912,000	$250,000 to $500,000
500 to 2,500	$1,256,000 to $1,944,000	$400,000 to $1,200,000
5,000 to 10,000	$1.8M to $5M	$900,000 to $2.5M
20,000+	$5M to $20M+	$4M to $15M+

Implementation time and approach

Workday implementation is delivered by Workday-certified partners and runs 3 to 6 months for mid-market and 6 to 12 months for complex enterprise. The unified HCM-plus-finance architecture reduces integration work because you have one vendor's data model end to end.

SuccessFactors implementation runs 6 to 9 months for mid-market and 9 to 18 months for complex deployments. SAP's certified consultant pool is the largest in the world, which can be a strength for global rollouts. Module-by-module licensing creates more integration work because you have separate certified connectors and middleware between Employee Central and talent modules.

Which platform fits which buyer

Workday wins for organizations that want unified HCM-plus-finance from one vendor with simple licensing. Companies that have already chosen Workday Financial Management get native integration with Workday HCM at no extra integration cost. Mid-market buyers who want a one-vendor experience pick Workday. So do buyers who value Workday's January fiscal-year-end negotiation window.

SuccessFactors wins for organizations already running SAP at the parent level and for global talent management. SAP shops running S/4HANA get framework discounts on SuccessFactors that are not on the table for cold buyers. So do organizations that buy talent-heavy (recruiting, learning, performance, succession) because SuccessFactors' standalone modules are best-in-class.

Verdict by buyer profile

Buyer profile	Pick Workday	Pick SuccessFactors
Mid-market with 1,000 to 5,000 employees, no SAP	Yes	Maybe
Large enterprise already on SAP S/4HANA	No	Yes
Unified HCM plus finance from one vendor	Yes	Maybe
Global talent management focus	Maybe	Yes
500-person scale-up	Yes	Yes
Existing Workday Financial Management	Yes	No

Negotiation leverage for either platform

Both platforms reward enterprise buyers who time negotiations well. Workday's January fiscal-year-end is the strongest single negotiation window. SuccessFactors' nine-volume-tier banded pricing rewards documented headcount growth assumptions. In all cases, credible competitor alternatives (documenting the other vendor's quote) move both platforms' negotiation desks dramatically.
